Re-authorise RM Unify access to Google Workspace
Published Date : 13 Jan 2023   Last Updated : 04 Oct 2024   Content Ref: TEC8972283

Symptoms

RM Unify user provisioning to Google tenancies has changed. A Google super admin in your tenancy is required to accept the new Google OAuth app to re-authorise RM Unify access to Google Workspace.

Procedure

Re-authorise access for the RM Unify service
  1. Sign out of any existing Google Workspace browser and RM Unify sessions.
  2. Sign in to RM Unify as an RM Unify super admin user.
  3. Select App Library.
  4. Select a Google Workspace tile that has been set up for your establishment, e.g. Google Drive.
  5. Within the Support Info section: 'You have given permission to RM Unify to manage your user and group data in Google Workspace. Need to give consent again?', click 'Click here'.
  6. Click the 'Enable Google APIs' button.
  7. A new tab will open with a prompt to 'Sign in with Google'.
Important note: You must sign in as a Google super admin user.
  8. Once signed in to Google, tick all the boxes on the Google consent page and select Continue.
Note: If you are re-authorising consent after already having done so very recently, you will see a different Google window (please see the image below), where you should click Continue.

  1. You will now return to the Google Workspace app in the RM Unify App Library.
  2. To resync recent user and password changes from RM Unify to Google Workspace, under the Support Info section 'Are users missing from Google Workspace for Education', click 'Click here'.
  3. Close the app window.

Checks

When completed successfully, the 'API consent last given:' date/time will be updated.

Possible Issues

Google Admin log events

Once the above procedure has been completed, you may subsequently notice in the Google reporting 'Admin log events' a large number of entries appearing for actions, such as password changes. This activity is expected and is simply the result of RM Unify re-sending all the data it holds to Google for your establishment. A limitation of the Google Admin console means that this change is not more accurately described, i.e. it is not a 'change' as such, just logging of an action relating to the password (really a 'resync' of the password held by RM Unify).
