How to update your RM Unify establishment with a new DfE number

Symptoms

All education establishments in England and Wales are assigned a unique seven-digit number, or code, by the 'Department for Education', which comprises a three-digit local authority (LA) code and a four-digit establishment number. 

Your establishment has now been issued with a new DfE code, which needs to be updated within RM Unify.



Cause

The DfE code is used by RM Unify in a number of places and needs to match the DfE code configured in your establishment's MIS:
  • MIS Sync - To configure upload of MIS data to RM Unify, e.g. via Groupcall Xporter, XE, Hosted Xporter, or Integris.
  • Microsoft 365/Google Workspace federation - As a security group/user identifying attribute.
  • MIS Group Sync to Microsoft 365/Google Workspace - As the default 'Name identifier' for non-security groups or classes.
  • AD Sync - To configure upload of AD user accounts to RM Unify.
  • RM User Provisioning for Managed Services - To configure, including the CSV Retrieval Tool.


Requirements

Please log a support call with RM Support. We will help coordinate all actions required before and after RM updates your RM Unify establishment. Here is a summary of the steps and expected results, but please follow the complete process relative to your MIS Sync method, as detailed in the Procedure section below.

  1. Log a call with RM Support to request change of DfE code in RM Unify.
  2. School MIS is updated with the new DfE code.
  3. Confirm if MIS Sync is via Integris, Groupcall Xporter Bespoke (local installer), Groupcall Hosted Xporter, or Groupcall XE (Xporter-on-Demand Enterprise). If you are not sure, RM Support can help you identify this.
  4. If you use Integris, please call the SESL support line to arrange the DfE code update - 0207 0971 684.
  5. If you use Groupcall:
    1. Groupcall XE or Groupcall Hosted Xporter: You will work with Groupcall Support to update this software.
    2. Groupcall Xporter Bespoke: You may be able to update this software yourself, or with Groupcall Support, depending on whether Xporter is running other jobs. 
  6. RM Support updates RM Unify with the new DfE code.
  7. Any Microsoft 365 and/or Google Workspace federation will update automatically.
  8. In RM Unify MIS group sync settings, the 'Name identifier' will be updated to the new DfE code unless you have previously manually changed it to a different value.
  9. Any new groups and classes provisioned from RM Unify into Microsoft 365 and/or Google Workspace will contain the new DfE code in their name. Groups and classes already provisioned will not be updated and will retain the old DfE code in their name.
  10. Update RM Unify AD Sync, if installed.
  11. Update RM User Provisioning CSV Retrieval Tool, if installed.

Important: If your establishment uses RM Unify AD Sync and/or RM SafetyNet, until your AD Sync Config Tool is re-registered with the new DfE code and registration code, no user or password changes will be synchronised between your network and RM Unify. Therefore, it is recommended that you co-ordinate these changes to suite your users accordingly.



Procedure

Full process for Groupcall Xporter Bespoke (local install)
  1. Log a call with RM Support, advising that you wish to update the DfE code in your RM Unify establishment to be inline with your establishment's MIS.
  2. Update your MIS to the new DfE code, following the MIS provider's standard advice and procedures.
  3. On the server hosting your Xporter Bespoke installation, open the Xporter Management Console and select Jobs. You will see the Heartbeat and RMUnify-Data jobs listed.
  4. Are there any other additional jobs listed?
    • If yes, please log a ticket with Groupcall Support, as they will have to manually update the Xporter installation on your behalf. Also, you should contact the vendors of any other software or services with additional jobs listed within Groupcall Xporter, to advise them of the DfE code change. Once complete, proceed to step 7 below.
    • If no, proceed to step 5 below to update Xporter yourself.
  5. Still within the Xporter Management Console on your server, select Misc, locate the two entries 'School Details - DFES Establishment Number (NNNN)' and 'School Details - LA Code (NNN)' and select each in turn.
  6. Once selected, in the right-hand pane, click Modify Setting, enter the new DfE code values as required and click OK to save.
  7. Confirm that your MIS and Xporter Bespoke are configured with the new DfE code.
  8. RM Support will now update RM Unify with the new DfE code and confirm back.
  9. If your establishment has RM Unify AD Sync installed, navigate to the server where it is installed and open the AD Sync Configuration Tool.
  10. Next, generate a new AD Sync registration code in the RM Unify Management Console and enter both the new DfE and registration code into the AD Sync Configuration Tool. Click 'Save and Register' and confirm that you get a "Successful registration" message.
  11. Return to Xporter Management Console once again, select Passwords, select 'Username/Passwords for Send Context (SendToRMUnify_DfEcode)' and in the right-hand pane, select Modify Password.
  12. Now, generate a new Groupcall Xporter Registration Code from the RM Unify Management Console, copy and paste it into the Password field in the Xporter Management Console and select OK to save.
  13. For Managed Services customers with the CSV Retrieval Tool installed to their network, your RM Managed Services engineer will be able to update the Tool by following this RM Internal Only technical article.

Full process for Groupcall XE or Hosted Xporter
  1. Log a call with RM Support, advising that you wish to update the DfE code in your RM Unify establishment to be inline with your establishment's MIS.
  2. Update your MIS to the new DfE code, following the MIS provider's standard advice and procedures.
  3. Log a support case with Groupcall Support advising that you need to update Groupcall XE or Hosted Xporter with the new DfE code
  4. RM Support will now update RM Unify with the new DfE code and confirm back to you.
  5. At this point you, will be able to generate a new registration code (SendTo password) for Groupcall Support to use when they update your Hosted Xporter or XE configuration to the new DfE code.
  6. Confirm that your Hosted Xporter or XE installation has been updated.
  7. If your establishment has RM Unify AD Sync installed, navigate to the server where it is installed and open the AD Sync Configuration Tool.
  8. Generate a new AD Sync registration code in the RM Unify Management Console and enter both the new DfE and registration code into the AD Sync Configuration Tool. Click 'Save and Register' and confirm that you get a "Successful registration" message.
  9. For Managed Services customers with the CSV Retrieval Tool installed to their network, your RM Managed Services engineer will be able to update the Tool by following this RM Internal Only technical article.

Full process for Integris
  1. Log a call with SESL Support (0207 0971 684), advising that you wish to update the DfE code in Integris.
  2. Integris will be updated to the new DfE code.
  3. Log a call with RM Support, advising that you wish to update the DfE code in your RM Unify establishment to be inline with your establishment's MIS.
  4. RM Support will now update RM Unify with the new DfE code and confirm back to you.
  5. If your establishment has RM Unify AD Sync installed, navigate to the server where it is installed and open the AD Sync Configuration Tool.
  6. Generate a new AD Sync registration code in the RM Unify Management Console and enter both the new DfE and registration code into the AD Sync Configuration Tool. Click 'Save and Register' and confirm that you get a "Successful registration" message.
  7. For Managed Services customers with the CSV Retrieval Tool installed to their network, your RM Managed Services engineer will be able to update the Tool by following this RM Internal Only technical article.


Checks

  • Depending on your MIS Sync method (Groupcall or Integris based), confirm if the scheduled overnight or manually triggered sync completes successfully.
  • Confirm that the MIS Group Sync 'Name identifier' has updated, unless you have previously configured it to a value other than your DfE code, in which case, it will not be updated.
  • If using RM Unify AD Sync, confirm that the network password and user changes are being synced from AD to RM Unify.
  • If using RM User Provisioning, confirm that the scheduled MIS CSV Retrieval task completes successfully. It is scheduled to run hourly by default.

In Microsoft 365:

  • The Department and 'Street address' fields of your users' contact information will have updated to reflect the new DfE code.
  • The display names of the RM Unify role security groups will have updated to reflect the new DfE code.

In Google Workspace:

  • The organisational units for your users will display the new DfE code.
