RM Unify - How to change MIS when using MIS Sync

Symptoms

You have enabled RM Unify MIS Sync in either Create or Link mode and have uploaded MIS data. You may also have enabled RM Unify Group Sync for Google Classroom or Microsoft® 365™ (M365) Groups/Classes, or installed an app such as Satchel One, which uses MIS data.

Your school decides to switch to a different MIS, e.g. from SIMS to Arbor. However, when you attempt to change MIS in the RM Unify Management Console, you find the option disabled.

Cause

The RM Unify Management Console provides no way for the admin to change MIS provider themselves; this is intentional.
Every user's MIS record contains an MIS ID, which is a unique identifier within the school's MIS system. Once RM Unify MIS Sync is enabled, these records are uploaded to the RM Unify MIS database and stored there. When changing MIS, the new MIS records will contain different MIS IDs. Simply uploading these new MIS records will not update any existing users in RM Unify, but will instead create duplicate records, causing issues in RM Unify and any associated apps, including loss of access in some cases.


Requirements

  • If you are moving from Integris, before proceeding with the change of MIS in RM Unify, you must confirm with SESL support (020 7097 1684) that your Integris Datashare feed has been permanently disconnected.
  • For any other MIS, before proceeding with the change of MIS in RM Unify, you must book an MIS migration with Groupcall.
  • The process of updating RM Unify to sync from a new MIS system is a chargeable service which must be carried out by RM (as it involves the updating/migration of data in the RM Unify datacentre).
    • Note: The exception to this is if you are moving from SIMS on-premises to SIMS Connected. In which case, please follow this article (TEC9159660 in the Other Useful Articles section below) instead. For such a move, RM will not need to perform any additional work with regard to the MIS data held in RM Unify and therefore, there is no additional charge.
  • Important note: Please allow as much advance notification as you can for your desired migration date. The migration will need at least two working weeks of planning and preparation, possibly longer depending on other technical issues or resourcing constraints.
  • Unless the RM Installations or RM Managed Services teams are co-ordinating, the process of installing MIS Sync for the new MIS is a customer task.
  • To complete the migration, the customer will have the responsibility of performing the MIS account linking process - this is the case whether you ultimately want Link mode or Create mode.

The current MISs supported by RM Unify:

  • Arbor.
  • Bromcom.
  • ESS SIMS (inc SIMS Connected).
  • Facility CMIS.
  • Integris.
  • IRIS Ed:Gen
  • iSAMS by IRIS.
  • Juniper Horizons (formerly Pupil Asset) .
  • ScholarPack.
  • WCBS (on-premise).
  • SEEMiS Click and Go (for Glow schools).


Procedure

Note: Please be aware that migration of MIS data within RM Unify is a chargeable service, which can only be completed by RM.

  1. Book an MIS migration with Groupcall, or, if you are moving from Integris, confirm with SESL support (020 7097 1684) that your Integris Datashare feed has been permanently disconnected.
  2. Log a case with RM Support requesting an MIS migration for your RM Unify establishment, giving as much lead time as possible and advising us of the date booked for your Groupcall migration.
  3. Specify your current MIS and the MIS you are moving to.
  4. Confirm whether you want MIS Sync to be migrated in Link mode or Create mode.
  5. RM will then get an estimate for the time and cost involved.
  6. Once the invoice has been sent RM will confirm a migration date with you.
  7. When the migration begins, you may have some basic setup tasks to perform within your new MIS.
  8. Once the migration has completed, you will need to perform the MIS account linking process - this is the case whether you ultimately want Link mode or Create mode.
  9. For Create mode, RM will complete the final migration steps and checks.


Checks

Important check - Scholarpack and Juniper Horizons
RM Managed Services User Provisioning (RMUP) is not compatible with ScholarPack or Juniper Horizons. Please speak with your RM Managed Services representative to confirm what alternative user provisioning method is decided before proceeding with MIS migration. The advised and preferred method is RM Network Provisioning with MIS Sync in Create mode.
