Summary
Explains how to change the Google Workspace domain federated with RM Unify.
Symptoms
You have federated Google Workspace with RM Unify and provisioned your users. You now wish to change the Google Workspace domain name and update the email addresses used by your RM Unify users accordingly.
Please note: The new domain must be in the same Google organisation as the existing domain in order for the users to be updated successfully.
Requirements
As part of the Procedure section below, please make sure you are familiar with the process of how to update a primary email address beforehand. Please refer to Google's support article 'Rename users in large organizations' for assistance.
Procedure
We will help coordinate the steps to federate to your new domain. During this process, Google Workspace will be unavailable for a short period of time to some of your users, so please contact the RM Cloud Support team to coordinate the best time for the work to be completed. Here is a summary of the steps involved:
In your Google organisation, you add and verify your new domain. Please retain your existing domain until federation with the new domain has been completed. Your existing and new domains must be in the same organisation.
In RM Unify, we remove the existing federation settings. Note: After this step and until completion of step 4, your users will be unable to access their Google Workspace accounts via RM Unify, although super admin users are unaffected. Also, device sign-in, rich client and Chromebook sign-in will also continue to function.
In Google Workspace, you update all existing user accounts to have a primary email address of the new domain name. Please make sure you are familiar with the process of how to update a primary email address beforehand. The task can take some time if you have a large number of users. Please refer to Google's support article 'Rename users in large organizations' for assistance.
If your non-super admin Google Workspace user accounts have never been used and there is no mail or data that needs to be retained, you may find it easier to simply delete all user accounts rather than rename them. If you do choose to do this, be aware that all associated user data (e.g. Gmail, Drive, etc.) will be permanently deleted with no option for recovery. Note: After this step, device, rich client and Chromebook sign-in will also stop working.
RM Support will update the email addresses of all your RM Unify accounts to use the new domain and will also refederate Google Workspace to RM Unify using the new domain Note: After this step, existing user access to Google Workspace is restored.
RM Support will run a resync from the Google Workspace app tile to resend all user data including any password changes received during the refederation work.

Receiving email at your old domain
After changing Google Workspace to the new primary domain, the old domain is, by default, retained as the secondary domain. You can then set up this secondary domain as a domain alias, which allows users to send and receive mail at both domains. This additional functionality is provided free of charge by Google.
