What is Delve for Microsoft 365?
Accessible from your 'My apps' launcher within Microsoft® 365™, Delve™ helps you discover the information that's likely to be most interesting to you right now - across Microsoft 365. You don't have to remember the title of a document or where it's stored. Delve shows you documents no matter where they're stored in OneDrive® for business or in Sites in Microsoft 365.
Delve also lets you view your colleagues' profiles, or edit your own. Your profile is like an electronic business card you share inside your organisation.
Delve never changes any permissions, so you'll only see documents that you already have access to. Other people will not see your private documents.
When you and your colleagues view, edit and share each other's documents, Delve learns from how you work and tailors the information to each of you on your personalised home page. What you see in Delve is different from what your colleagues see.
Are my documents safe in Delve?
Yes, your documents are safe. Delve never changes any permissions. Only you can see your private documents in Delve.
Also, other people can't see your private activities, such as what documents you've read, what emails you've sent and received. Other people can see that you've modified a document, but only if they have access to the same document.
What you see in Delve is different from what other people see. You can see your private documents and other documents that you have access to. Other people can see their documents and documents that they have access to.
How does Delve analyse my Microsoft 365 activity?
The Office Graph - the brains behind Delve - collects and analyses signals that you and your colleagues send when you work in Microsoft 365. For example, when you and a colleague modify or view the same document, it's a signal that you're likely to be working together. Other signals are who you've shared a document with, which distribution groups you're a member of, who your manager is and who has the same manager as you. Delve uses the signals to show you and others the documents that are likely to be relevant to you. These signals are known as public activities and it's these activities you share with others when you use Delve.
Other activities are private and are never shared. Examples of private activities are what documents you've read, what emails you've sent and received, or what Lync conversations you've been in.
Remember that Delve never changes any permissions. You and your colleagues only see documents that you already have access to. Only you can see your private documents in Delve.
Users can see documents they are not meant to, what should I do?
Users only see documents that have been shared with them from someone's OneDrive or from a team site to which they have SharePoint® access. If users have access to documents they shouldn't, review the permissions on the document, library, OneDrive/site on which the document resides and make sure that only the intended users have access to the content.
Can I turn off Delve?
For you as an individual user you can opt to turn off sharing:
In Delve, go to Settings.
Select Sharing activity, 'Don't share my activity'.
Click OK to save the changes.
If you are an Microsoft 365 admin and wish to turn off Delve for everyone:
Log on to Microsoft 365 as your admin user.
In the left-hand menu, under 'Admin centers', click the SharePoint link - this will open the 'SharePoint admin center'.
In the left-hand menu of the 'SharePoint admin center', click 'settings'.
Under the heading Office Graph, click the 'Don't allow access to the Office Graph' radio button (see image below).
